ICS’s mission, among other things, is to serve its institutions by finding vendors that can deliver merchandise and/or services at the most competitive prices. In keeping with that aspect of our mission, we have a Request for Bid (RFB) process when we are asked to obtain buses that are needed for any trip sponsored by your parish, school, and catholic institution or organization.
Our RFB procedure is very straightforward and, at its core, is intended to provide our customers with up to three different cost options (depending trip destination). Thereafter, the ultimate decision and selection of the bus company is left completely up to the customer.
Here is how it works:
Making your request. An ICS Transportation Quote/Order Form must be completed and returned via fax to 917-791-8493, or by email sent directly to your local ICS sales representative for processing. (If emailing, of course the form would have to first be scanned).
Getting the RFBs. This is our job. Upon receipt of your request, ICS will contact the bus companies to secure their independent RFBs. The RFBs will, of course, be based on the trip’s exact specifications – date, bus type, destination, number of stops, pick-up/drop-off times, etc. Once all bids have been received, the cost from each company will be provided directly to you – in writing – for your ultimate decision. You will then be required to acknowledge and complete the order by checking the appropriate box to select your vendor and by signing/dating the bottom of the form.
Please note that if we have not received a signed confirmation form, the order for a bus will not be processed.
Fulfilling your order. ICS will see to it that the order has been properly processed, ensure that your transportation needs are reserved, and that the bus arrives on time on the day of your trip.
