We consult. Prior to the completion of any sale or lease, ICS looks to specifically establish the true anticipated machine usage over the course of the lease and to ascertain your typical overall copying needs. This is done in order to correctly determine the most suitable copier and model that matches up with the user’s defined needs.
We secure three bids. ICS provides three distinct proposals which include a set “per copy” rate. This rate is based on the expected number of copies made (per month) estimated during the initial consultation. Simply put, there can never be an overage fee for copies in excess of a pre-determined amount and since the cost-per-copy is always the same, it is easy to manage your copying budget. Most copy vendors cite overage use (usually quarterly) with a meter-reading device; with ICS there is no increase in your per-copy rate.
You can own the equipment. ICS arranges low interest lease rates and at the end of the lease you own the machine outright, with no additional fees to be paid. (Of course, customers can opt for different equipment and then enter into an entirely new lease – ICS is available to consult if this an option considered). Our ownership policy differs from the industry-standard practice that allows leases to automatically renew, generally with a cost increase, unless the customer notifies the leasing company during a specified window of time that the equipment is to be returned. Furthermore, in the event it is determined that a machine is not to be kept at the time of a lease expiration, some vendors impose a significant “re-stocking” fee to have the machine shipped to another facility. In response to repeated instances of parishes, schools/institutions being ill-advised and, ultimately short-changed and overcharged on equipment purchases and/or leases, ICS has a straightforward lease-to-own program that simplifies a complex process and saves you money.
Our service and support. The terms of our service contract include conditions that address the repair and/or replacement of all parts, labor, toner, and staples. In addition, copiers purchased through ICS are owned by you at the end of the lease. Thereafter, representatives from ICS are available to further consult on the best type of service contract for your copier. With our expertise we will recommend a suitable, extended service agreement on the equipment – again, one tailored to your needs and most suitable for the machine you have (based on its condition, age, future use expectation, etc.). ICS sees to it that the copier manufacturers follow industry guidelines for stocking parts and toner for a minimum of seven years after a model has been discontinued. Lastly, you will not have to find a dealer to service your equipment should the initial vendor go out of business during (or after) the contract period.
Let us help you. ICS customers in the Archdiocese of New York are required to send expiring copier leases to ICS for review at least 150 days before the expiration date. We will review the terms of the contract and advise on your obligation (if any) going forward; in addition, we will help effect the safe, legal return of the equipment should that be an option that you wish to pursue. All ICS customers are encouraged to do the same and send your contracts to us for review. In addition, the ADNY Legal Office reviews all non-ICS leases to ensure that the parishes, schools, and institutions are protected and comply with New York State law.
